VideoArena operates with a fixed, role-based permission system, ensuring each user only has access to what they need. This guide outlines what each role can do and offers best practices for managing roles in your Arena.

Every user invited to an Arena must be assigned a role. There are four roles to choose from:

  • Administrator

  • Coach

  • Player

  • Other

Each role is designed with specific use cases in mind.

🔐 Best Practices for Role Management

To keep your Arena secure and efficient:

✅ Assign Roles Based on Responsibility

  • Use Administrator roles sparingly. Only key personnel (e.g., club managers, team owners) should have full access.

  • Coaches should handle tagging, review, and clip creation.

  • Assign Players to users you want to monitor performance without the risk of edits.

  • Use Other for limited access (e.g., scouts, parents, or media).

🔄 Keep Roles Updated

If someone’s responsibilities change, revoke and resend their invite with the appropriate role — roles cannot be edited after assignment.

🚨 Monitor Clip & Tag Activity

Administrators can delete any clip — if inappropriate or incorrect tags/clips are being created, use this power to maintain quality.

🧼 Remove Inactive Users

Regularly audit your user list and revoke access to those who no longer need it.
